Configuring your email client: Outlook 2003

This tutorial shows you how to configure Outlook 2003 to retrieve mail from your email account. The following screen shots are taken with Outlook2003 on Windows XP, but they should be very similar to other versions on different operating systems.

1. Start your Outlook 2003 software. Click 'Tools' and select 'Options'.

2. On the Options page, select the Mail Setup tab and click 'E-mail Accounts...'

3. On the E-mail Accounts page, select 'Add a new e-mail account' and click 'Next'.

4. On the Server Type page select 'POP3' server type.

5. On the Internet E-mail Settings (POP3) page enter the Your Name, e-mail address, User Name, Password, Incoming mail servers and Outgoing mail servers then click 'Next'. You may check 'Remember password' but DO NOT check 'Log on using Secure Password Authentication (SPA)'.

User Name : userID@yourdomain.com
Incoming mail server (POP3) : mail.yourdomain.com
(Replace yourdomain.com with your own domain name)
Outgoing mail server (SMTP) : provided by your ISP (Consult your ISP for your SMTP server name)
e.g. mail.netvigator.com , smtp.pacific.net.hk

(If your ISP does not provide SMTP server services, click here)

You have successfully configured your POP email software to use the our email server as your SMTP server.

If your ISP does not provide SMTP server service for your use, you may use our mail server for SMTP. You will have to specify your Outlook 2003 software to authenticate in order for the SMTP server to accept your outgoing email.

6. On your Outlook 2003 Internet E-mail Settings (POP3) page, enter smtp.yourdomain.com ( for example ) as your Outgoing mail server (SMTP) and then click 'More Settings...'.

7. On the More Settings page, select the Outgoing Server tab, check the 'My outgoing server (SMTP) requires authentication' option and Advanced for next step

8. Click Advanced and change SMTP to a special port number : 465 and Click OK.

9. You have successfully configured your POP email software to use the our email server as your SMTP server
