iDocs is inherently linked with various Microsoft Office templates, which will be prepared by FunctionEight for the client, which allow for auto registration of documents into the database with minimum effort. Typical examples of templates are:-
- Fax

Letter
-
Memo
-
Proposal
-
Email
These templates will be linked to the iBase main page so the user can launch centralised templates simply and efficiently.
Once a template has been opened the user selects the Register button.

The user should then enter the document specific information such as company, project, subject, out to, out from etc as well as the security criteria.
Documents registered will be assigned a unique identification number.

The security feature in iDocs-Addin allows users to select the department and security level for each registered document. This means that a document can be set so that only a pre-determined set of users have permission to view the document. One option also allows for broadcasting of registered documents so that all users in the enterprise can view it.
iDocs Add-In allows for the release and re-registration of documents when an existing registered document forms a suitable base for a new one.
As well as registering outgoing documents from templates, users can also register incoming Microsoft Office files using the same methodology.
